Virtual Parent meetings

Dear Parents / Carers,

We will be using Microsoft® Teams for our SEND Meetings and Virtual Parents Evenings to ensure the meetings happen in a Covid-19 secure way which protects the privacy of our staff and you at home (or wherever you may be during the meeting). 

Teams will enable you to virtually talk to your child’s class teacher via video.  You DO NOT have to use your camera feature as well, though many find this more convenient and provides a far better experience.  If you do, please respect our staff by choosing an appropriate location for your virtual meeting, you should not expose our staff to any unacceptable sights or sounds.  Failure to comply will result in your meeting being terminated prematurely.

Links for SEND meetings will come directly from your child’s Class Teacher as they should have contacted you to agree a time for this meeting.

Links for virtual Parents Evening appointment taking place before half term have already been sent (Tue 12th & Thur 14th Oct ) and for Parents Evenings taking place after half term (Tue 26th & Thur 28th Oct) the links will be sent on Wednesday 13th October. 

If you have not received it please check your junk folder, as we have known previous appointments to appear there.

Once you have received this link you may need to prepare beforehand so you are ready for your scheduled meeting.

If you are planning to use a laptop, desktop computer or chromebook for your meeting; all you will need is the link and a working connection to the Internet.  If you are planning to use a smartphone or tablet you will need to have downloaded the Microsoft Teams app from your app store if you haven’t already got it.

You DO NOT need to setup any accounts or sign up to any new services, the link you’ll receive should be enough.  If, however you are already setup and used Teams before, your app may use your existing account to connect to your meeting.  We respect your privacy and will not use these details for any other purpose!

How will it work?

  1. Make sure you have enough battery charge for your meeting’s duration.
  2. 5 minutes before your meeting is scheduled you should follow your link and ‘Join Microsoft Teams Meeting’
  3. You should receive the message ‘Someone in the meeting should let you in soon’.
  4. Your child’s class teacher will see you are ready for the meeting and connect you at your scheduled time.
  5. You will meet virtually with your child’s class teacher.

Your meeting MUST be limited to your allotted time and will be terminated once the time is up to ensure everyone gets their meeting.

What if things go wrong?

Bad connection?  Can’t hear or see anything?  Sometimes, technology lets us down and while we can attempt to ensure it all goes well; sometimes it just doesn’t happen that way!  If you have any difficulties; please simply hang up and try again by clicking the ‘Join Microsoft Teams Meeting’ link again.  You should only do this 5 minutes before and during your allotted time slot, we cannot re-schedule your meeting until after our virtual parents evening is completed.

If things just do not work, your child’s class teacher will know and the school will contact you to either re-arrange or attempt an alternative method.  Please bear in mind; we are trying to provide the best possible service during an unpredictable and difficult time.
